Bookkeeping for lawn, landscaping and trades crews
Seasonal income, crew pay and truck miles kept straight all year, not just in April.
What owners tell me
Where a lawn or trades business's books get tangled
Lawn and trades work runs in seasons. Spring and summer bring a flood of checks, Venmo and card payments, a crew to pay and a truck that never stops, and the books wait for the first slow week, which never comes. By winter the spreadsheet from April has outgrown itself, and personal and business money have started to blur.

Tangled books vs untangled books

Tangled
Untangled
Tangled: Checks, Venmo and card payments in a pile
Untangled: Every payment matched to the customer and the job
Tangled: Crew paid in cash with no record
Untangled: Crew pay tracked, ready for 1099s or payroll
Tangled: Truck miles and fuel guessed at tax time
Untangled: Mileage and fuel recorded month by month
Tangled: A spreadsheet that outgrew the business
Untangled: Books a lender can read when you need equipment

Lawn and trades bookkeeping questions
When should a lawn care business switch from Excel to QuickBooks?
When the spreadsheet takes longer to trust than to keep. Common signals are a growing crew, several payment types, more than one account, or a lender asking for clean books. I can move your records into QuickBooks Online so nothing from the old sheet is lost.
Do my crew members need a 1099?
A crew member you pay as a contractor needs a 1099-NEC once you reach $2,000 per payee for payments made on or after January 1, 2026 (it was $600). Crew paid as employees go through payroll instead. I track every payment so your preparer can sort them quickly.

How should I track truck mileage?
Log business trips as you go, with dates. For the 2026 tax year the IRS standard rate is 72.5 cents per business mile from January 1 to June 30, 2026, and 76 cents per mile from July 1 to December 31, 2026. Whether the standard rate or actual costs suit your truck better is a call for your tax preparer.

I mixed personal and business money. Can that be fixed?
Yes. A cleanup sorts each transaction into business or personal, records what the business owes you or you owe it, and reconciles the accounts. Then a separate business account keeps it clean going forward.
