Bookkeeping for cleaning companies
Payments from every app matched, helpers paid on the record and supplies where they belong.
What owners tell me
Where a cleaning company's books get tangled
A cleaning business gets paid in five different ways and pays a crew in two. Square deposits arrive in batches minus fees, regulars pay by Venmo or Zelle, tips mix in with client payments, and supplies get bought on whatever card is handy. Each piece is simple. All of them together, every week, is how a cleaning company ends up months behind.

Tangled books vs untangled books

Tangled
Untangled
Tangled: Square and Venmo deposits that never match a job
Untangled: Every payout matched to the jobs and fees behind it
Tangled: Tips mixed in with client payments
Untangled: Tips recorded on their own line
Tangled: Supplies spread across personal and business cards
Untangled: Supplies categorized in one place, ready at tax time
Tangled: No idea which helpers need a 1099
Untangled: Helper pay tracked all year, so January is easy

Cleaning company bookkeeping questions
How do I record Square payouts for my cleaning jobs?
Record the gross sales, book Square's fee as an expense and match the net deposit to the bank feed. A payout bundles several jobs minus fees, so it rarely equals one invoice. I set this up once in QuickBooks Online and it matches cleanly from then on.
Do my cleaning helpers need a 1099 in 2026?
A helper you pay as a contractor needs a 1099-NEC once you reach $2,000 per payee for payments made on or after January 1, 2026 (it was $600). Employees are different and go through payroll. I track what each helper is paid through the year.

Can I deduct the miles I drive between houses?
Business driving between client homes generally counts. For the 2026 tax year the IRS standard rate is 72.5 cents per business mile from January 1 to June 30, 2026, and 76 cents per mile from July 1 to December 31, 2026. Your tax preparer makes the final call; I keep the log that supports it.

My cleaning business is small. Is a bookkeeper worth it?
Sometimes a custom Google Sheet is the better fit. If you have a handful of regulars and one account, I can build a sheet that tracks it all for far less effort. When the crew or the payment apps grow, monthly bookkeeping takes over.
