A well-built Google Sheet can carry a very small service business: one owner, one bank account and a manageable number of payments a month. Move to QuickBooks Online when you add helpers, more accounts or payment apps, or when someone else needs reports they can rely on.

Not every business is ready for accounting software, and that's okay. The right tool is the one you will actually keep up with.

When is a Google Sheet enough?

  • You are the only person working in the business.
  • Money comes in and goes out through one business bank account.
  • Clients pay in a few simple ways, and you can see each payment.
  • You mostly need totals for your tax preparer, not monthly reports for a lender.

A sheet is free, you already know how to use it and it is easy to share with your tax preparer. For a new dog walker or a solo cleaner, that is often exactly right.

When is it time for QuickBooks Online?

  • You pay helpers and need to track what each one earned.
  • Payouts arrive from several apps, each with fees taken out first.
  • You have more than one bank account or a business credit card.
  • A lender, landlord or partner wants a profit and loss statement.
  • Updating the sheet is taking longer every month.

QuickBooks Online connects to your bank and card feeds, matches deposits and produces standard reports. The tradeoff is setup: a file set up wrong at the start causes problems for years, which is why so many owners give up on it.

One cleaning business owner put it plainly on a public forum: "I tried Quickbooks but it was so complex I gave up." Usually the software was not the problem. The setup was.

What should a bookkeeping sheet track?

  • Date, client and amount for every payment
  • How each client paid: card, app, check or cash
  • Expenses by category: supplies, fuel, insurance, phone, software
  • Mileage with dates, start and end points and purpose
  • What you paid each helper, by person
  • Monthly totals, so you can compare one month with the last

Can I move from a sheet to QuickBooks Online later?

Yes, and a tidy sheet makes it easy. If your categories are consistent and every payment is dated, the history moves into QuickBooks Online cleanly. A messy sheet moves too, it just takes a cleanup first.

What does a custom sheet look like?

I build Google Sheets around how a specific business works: the services you sell, the ways clients pay, the categories your tax preparer wants and a mileage tab with dates. The totals fill in by themselves, and the sheet is built to hand to your tax preparer at year end.
