Start with your bank and card statements, not your receipts. Download every statement for the year, record and categorize each transaction, match your app payouts, reconcile each account to its statement balance, then run a profit and loss report for your tax preparer. Starting in the fall keeps January calm.
Where do I start when my books are months behind?
- Download every bank and card statement for the year, as PDFs.
- Download payout reports from every payment app you use.
- List every account the business used, including any that are closed now.
- Work one account at a time, oldest month first.
Statements are complete, and receipts never are. Starting from the statements means nothing gets missed, and receipts become the backup for the purchases that need one.
Do I need every receipt?
The IRS asks you to keep records that support your income and your deductions. A bank statement shows a payment happened. A receipt or invoice shows what it was for. For larger purchases, supplies and anything that looks personal, the receipt matters. Save them as photos in one folder per month and you are most of the way there.
How do I categorize a year of transactions quickly?
Set up rules. In QuickBooks Online, a bank rule can file every transaction from the same supplier or app into the same category. Most service businesses have a short list of repeat expenses, so a handful of rules covers most of the year, and you handle the odd ones by hand.
What do I do about months with missing statements?
Request them from the bank or download them from online banking, which usually goes back further than people expect. Do not guess at a month. A gap in the middle of the year means no account will reconcile after it.
What does reconciling actually mean?
It means checking that your books and the bank agree, to the cent, at the end of each month. When they agree, you know every transaction is recorded once and only once. When they do not, the difference tells you exactly where to look.
Which dates matter while I catch up?
Estimated tax payments for the 2026 tax year are due April 15, June 15 and September 15 of the tax year, and January 15 of the next year (a date on a weekend or holiday moves to the next business day), according to the IRS. Your tax preparer sets the amounts, and current books are what let them set the amounts accurately.
If you pay helpers, check each person's total against the 1099-NEC threshold, which is $2,000 per payee for payments made on or after January 1, 2026 (it was $600).
When should I get help catching up?
- You are more than a few months behind and the year is ending.
- Business and personal spending are mixed in one account.
- Your QuickBooks Online file has duplicates or balances you do not trust.
- You have started the catch-up more than once and stalled.
If that sounds familiar, you are in good company. One owner wrote on a public forum, "I've been putting off my bookkeeping for almost a year..." Catch-up work is one of the most common reasons owners call me, and it is a one-time project with a clear end.
